Organizational Mission:
Ifetayo's mission is to prepare young people and their families for all aspects of their lives through comprehensive and holistic programs that help to empower them to become self-sufficient and, productive adults who are actively engaged in the improvement of their communities. This mission is carried out as we work to achieve the five primary objectives of the organization which are:
- to develop cultural awareness and self-esteem by exposing youth and families to traditional African artistic forms and their evolution into contemporary cultures;
- to provide youth, families and communities of African descent with the tools required to become self-sufficient and to transcend challenges that are perpetuated across generations;
- to support youth, families and communities of African descent to reach their optimum potential by attaining a harmonious balance between the mind, body, and spirit and through proper nutrition, exercise, and cultural awareness;
- to create leaders for local neighborhoods and international communities, and
- to develop, document and disseminate a comprehensive, African-centered approach to youth and community development.
Position Description: Working under the supervision of the Executive Director, the administrative assistant performs general administrative duties, routine clerical and typing work.
Key Responsibilities:
Essential duties include but are not limited to the following:
- Maintains administrative, archival and/or personnel files for organization
- Analyzes routine operating practices and procedures to include personnel, record keeping, performance standards, workflow, and cost reduction, equipment and supply utilization, etc., to ensure smooth and efficient office operation
- Maintains systems, procedures and methods for record keeping, cost gathering and accounts reporting
- Prepare a variety of reports on financial activities and status for budget preparation
- Insures accurate codes and charges for all encumbrances and disbursements
- Interacts with vendors, member agencies and public to answer questions and to resolve account and billing discrepancies
- Obtains, organizes and drafts technical and administrative materials for public information or organizational use
- Provides guidance and consultation to officials, employees and general public on organizational and administrative matters
- Provides a variety of supportive services as directed by an administrative superior
- May supervise volunteers and other support personnel
- Performs other related duties as required
- Plans, assigns, and reviews the work of employees engaged in processing fiscal, personnel, educational, medical, or other departmental records
- Develops and implements new or revised record keeping systems and procedures
- Ensures work product quality and quantity control by reviewing documents, reports, forms, records, or other materials for content, completeness, or accuracy
- Directs and assists in sorting and distributing letters and parcels
- Determines and assembles data and composes special reports, periodic correspondence, or production records
- Answers inquiries concerning agency functions either verbally or in writing
- Gives routine interpretation of policies, rules, and regulations
- Monitors supply and equipment stock, determines needs, and places requests for necessary items
- Maintains petty cash fund
Qualifications
- High school diploma or equivalent
- Knowledge of principles and practices of basic accounting
- Knowledge of the principles and practices of the budgetary process
- Excellent time management skills
- Excellent writing and speaking skills
- Strong team player demonstrated by the ability to work well with others
- Minimum three years experience of varied and progressive secretarial responsibilities and two years office management experience with administrative/supervisory responsibilities
- This position qualifies for non-exempt status as defines in the Fair Labor Standards Act
- Advanced knowledge of personal computers including specific applications such as outlook, word, excel, project and PowerPoint.
- Good analytical and problem-solving skills
- Knowledge of data gathering techniques, such as library research or files analysis, to obtain technical and administrative materials for organizational use
- Knowledge of principles and practices of organization, planning, records management, research and general administration
- Ability to communicate effectively both verbally and in writing with staff, employees and public
- Ability to operate standard office equipment including but not limited to computers, typewriters, copiers, calculators and facsimile machines
- Ability to follow oral and written instructions
